How to get some balance back in your life

Wherever I go, everyone seems to be talking about a work/life balance. Some people say they want a work/life balance, or they wish they had a work/life balance. I’ve noticed these people tend to be the ones who are sometimes in a hurry, they are often late, and always rushed. You’ll hear them say they need more hours in the day, more days in the week, or simply that they have run out of time.

Always on the treadmill, they rarely stop to rest, relax and recover. There’s just no time! However, these are the same people who wish they had more time for family, friends and fun. They wish they had a work/life balance. Having personally met several people close to burnout from not taking the time to create a work/life balance, I am keen to help.

Is this you?

Would you like a work/life balance?

Or, would you like a better work/life balance?

There are always things which can be changed and refined at different stages of your life.

Work/Life balance isn’t always 50/50

For many people, the idea of a work/life balance equates to spending 50% of their time on work and 50% of their time on “other things”. They might want to spend more time with their family, or have time to meditate, to read, to go to the gym, or learn a new skill.

In reality, the balance is rarely 50/50. There will always be house chores, school runs, caring for family and many other non-work tasks which don’t automatically equal the fun time you want. Even though the tasks aren’t business-related or generating income, they still need doing and they take up your recreation time, the “life” part of the work/life balance.

How to get balance in your life
How to get balance in your life

Top Tips for creating balance

  1. Look after yourself.

Your first priority must be to look after yourself. Get enough sleep. Drink plenty of water. Be mindful of your food choices. Make time for exercise. Your body will thank you and consequently your productivity will increase. You’ll get more done in less time.

  1. Look after your finances.

One of the many stressful things in life is money. If you can spend time itemising and analysing your business income and outgoings, then it makes sense to do the same at home. Keeping track of how much things cost at home, everything from your TV licence, Internet, food shopping, presents, outings etc. and whether purchases are “wants” or “needs” will help you know how much you can spend on your personal life without it affecting your business.

  1. Look after your time.

How many times has someone asked you for “just a minute” or said, “it won’t take long” and before you know it, fifteen minutes has passed, or an hour, or a day. Creating a ToDo list and assigning each task with a priority, an estimated time, and a tick or strikethrough when it’s complete is not only satisfying, it can help deflect “time thieves”, the people or technological distractions like Facebook or the TV that absorb your time without you realising.

There are many more tips for creating a work/life balance and it is easy to make long-lasting, effective changes to help you focus on the things you want to achieve. There is time to do everything you want, but it may mean re-prioritising activities, changing your schedule, dropping redundant tasks, asking for help, or delegating. There are many, many possibilities.

Is it possible to keep your house and your business running smoothly?

Is it possible to keep your house and your business running smoothly?

With many people working from home, the line drawn between office hours and home hours is often very blurry. Sometimes it feels as though the hours overlap and it’s not obvious where work ends, and home begins.

It’s not uncommon for someone to be answering a business phone call while loading the dishwasher. Or booking a meeting to finish in time to make the school run. Or helping with homework while catching up on accounts and admin. How many times have you worked late into the night when your daytime hours have been spent caring for others?

This is where having a system in place at home, as well as for your business, can make sure everything gets done. I can show you how it’s possible to keep your home clean and tidy without it impacting on your business work or family life. Just as a tidy desk can symbolise a tidy mind, having an organised household routine can take the pressure off running your business.

Get Started

To get started is the top tip. Today can be the day you make the changes. This is the first step to turning things around. Instead of chasing your tail, you can take control of your tasks and your time.

Structure makes home & work life easier
Structure makes home & work life easier

Involve Others

If you have a partner or family members who can help, involve them. Make it known that it’s everyone’s job to help around the house. Create a rota for tasks. Even if you think it is easier to do something like the laundry yourself, add up how many hours this takes each week. If you can delegate the task to another family member, you can free up your time for something else. You can introduce incentives or rewards based on the type of task, the amount of time, or the complexity.

There may come a point when it becomes cost effective to outsource household chores like laundry, ironing, loading and unloading the dishwasher, hoovering, dusting, making the beds, walking the dog and washing the car. Perhaps investing in having a cleaner once a week could help. Is it worth the price of having extra hours for yourself and for family time?

Group Tasks

Just as you might tackle a business project by grouping tasks together you can do exactly the same at home. If you have a batch of invoices to send out, you might do them one at a time, or you might do them all on a Friday evening.

The same principle applies when keeping your home and your business running smoothly. You can group tasks and allocate them to mornings or afternoons or assign them to a particular day of the week. If you have free time on Tuesday mornings, can you make that the time when you blitz the cleaning? If you put a time limit on the task it can help keep you accountable and make sure the time doesn’t drift away.

Accept Imperfection

It can be extremely hard for many business owners to accept things can’t be perfect all the time. High performers, ambitious, driven, successful, there is an inbuilt expectation for perfection, from themselves and those around them. In reality, dust happens, washing needs to be done, children need to be dropped off and collected from school and these things don’t always go to plan.

It might rain just as you’re about to put the washing out. A child may be sick during the day and need collecting early. Dusting seems to be a never-ending chore, especially if you have cats and dogs.

This is where I help my clients restore order at home and in the workplace. I’ll work with you to create responsibility lists and achievable accountability action plans that work for everyone.

How creating systems and processes can simplify your business

Every business has various systems and processes in place. These are the tasks you do and the order in which they are done. Over time, you might review your systems and make refinements, tweaking your processes to cut out redundant steps, or adding layers to the system as your company grows.

You might have a system in place for taking orders with various processes to make sure the tasks are not just done, but they are done in the right sequence. Having a system for this means the tasks are carried out in the same sequence each time, using the processes which you create in advance.

Your order process might be to receive an order via email or telephone, then check items are in stock, then confirm the order to the customer, then take a payment, then dispatch the product and reorder the item if needed.

But each process can also be broken down into steps. Perhaps you have multiple sales staff with individual e-mailboxes to check for new orders. Perhaps checking if items are in stock involves someone driving to the warehouse or viewing a stock spreadsheet in the office. Perhaps payments are received in cash, which then needs to be taken to the bank by a certain time of the day.

From the customer’s point of view, they have placed an order with you, but in behind the scenes many steps may need to be taken to deliver what they have asked for.

I specialise in helping companies identify their processes, right down to the micro-steps and I help you get into the nitty-gritty detail of what happens, when, by whom and why. This is a process in itself and it often leads to uncovering timewasting activity, finding redundant steps, increases staff productivity and consequently helps you save time and money.

This is where spending a little time “working on your business”, rather than “working in your business”, really does help.

Having systems and processes in place means:

  • Work is carried out to a consistent standard.
  • If a member of staff is absent, another employee can carry out their tasks.
  • Training new staff or temporary workers is much easier.
  • You can measure performance and monitor changes.
  • Customers receive the same level of service every time they use your company.

Having an outside opinion can identify things which you take for granted, but in reality, they are things you no longer need to do. If you are waiting until 10am for a cheque to arrive in the post before making calls to chase clients for outstanding payments, you may find this is no longer required and you could skip this step and start chasing outstanding payments first thing. In fact, you might even choose to automate payment reminders by text or email, saving human hours on a recurring task.

Regularly reviewing your systems can highlight areas where you can make changes and identify better ways of doing things.

If you feel your business would benefit from a systems overhaul or a process review, please contact me by emailing rachael@rachaelchiverton.co.uk or by telephoning me on 07756 772950 and I will be happy to work with you to make sure your business is running at peak performance.

Do You Follow Up 121 Or One To Many?

I’ve talked lots about the benefits of following up after networking meetings and I’d like to share two different strategies to help you make the most of your follow-ups without experiencing overwhelm or getting distracted by…Squirrels!

Ban the Squirrels, take back control
Ban the Squirrels, take back control

When I attend a new networking meeting, I know I’ll meet around twenty people each time. Over the course of a week I might meet over a hundred new people plus catching up with people I’ve already met. Without a proper follow-up strategy in place it could be very time consuming and difficult to keep track of who asks for more information and who wants to order from me.

If someone doesn’t want my services or need them right now, I can also keep track of potential opportunities where I can recommend that person to speak with other people that I’ve met networking. An example of this would be recommending a mortgage advisor or removal company to someone looking to move home or office, or a mechanic to someone who needs help with their car.

Having lots of networking contacts helps you become a problem solver, simply by connecting people together who might not have met each other. To make the most of your contacts, it’s important to follow up with them regularly, adding value with each conversation.

I attended Rachael’s Follow Up training session and afterwards I felt motivated and immediately implemented some of the things we discussed. I will be back to carry on and will book a further Follow Up session!” – Liz Johnson, Pet Health and Welfare Specialist

There are two main strategies for following up and these are 121 Follow Ups and One To Many Follow Ups. They each have value and can be used successfully depending on how much time you can invest in your follow-ups and how you prefer to carry out your follow-ups.

121 Follow Ups

As the name implies, you’re following up one to one, you and the other person. This is a great way to continue a 121 meeting and find out more about the other person. It offers you the chance to get to know someone better and consequently find out if they want or need what you do, or whether they can be someone you can recommend or refer to another of your networking contacts in the future.

In my Focus Guru Networking Follow Up Power Hour I talk more about the power of 121 Follow Ups and how you can implement technology solutions to make your follow up process simple and stress-free.

One To Many Follow Ups

A “One To Many” follow up typically involves a generic message talking about what you do and how people can find out more. You can also include a call to action and a special offer or a time-limited offer, as well as your website and social media links.

One of the most successful ways to do this is to address a problem your contacts might be having and show them how your product or service can remove the problem and/or the cause of the problem. You can write this in the content of your message and track which of your contacts opens the message and what they do next. With many mailing list solutions you’ll also have access to see whether they click on the links inside your message as well.

I cover making the most of your message tracking information in my Focus Guru Power Hour and highlight exactly how important it is to know your numbers when carrying out a methodical follow-up process to maximise your time, energy and resources when following up.

Rachael led the session well and is a patient teacher. I recommend giving one of these informative sessions a go.” – Liz Johnson, Pet Health and Welfare Specialist

The Power of LinkedIn For Your Business

The Power of LinkedIn For Your Business

Are you making the best use of LinkedIn for your business? It’s a social media platform that, when used to it’s potential, can really accelerate the way you keep in touch with your ideal customers. From a personal viewpoint, since implementing some simple changes to my LinkedIn profile, I’ve noticed a huge improvement in engagement from my target audience.

Connections are the most important thing in business
Connections are the most important thing in business

I’d like to share some tips and help you to do the same. I cover these tips and more in my Focus Guru LinkedIn Power Hour which is available to business owners and employees in companies of all sizes and turnovers.

First, I’d like to ask why you’re choosing LinkedIn above the other social media platforms. Is it because LinkedIn has more of a “business feel” than the other platforms? Is it because you feel you need to be on there? Either way, LinkedIn is widely recognised as “the place to be” for business connections, industry news and work opportunities.

Make The Most Of Your Connections

In my Focus Guru LinkedIn Power Hour I’ll share with you how to make the most of your existing connections and how to find new people to connect with. I’ll also share the best ways to interact with your connections to make sure they know you exist and you’re “top of mind” when it comes to thinking about your products and services.

Some of your connections will be your silent audience, the people who are watching from a distance. You may never know which of your posts attracts their interest and it could be several months or even years before they need you.

An example of this is an email I received from a 3rd level LinkedIn connection. A 3rd level connection is someone who’s heard about me via two other people. They are two people away from knowing me directly. Yet, this person wanted my help with a time management issue. They got in touch and I was able to solve a problem for them. This is the power of LinkedIn!

Add Value Every Time

One of the most important tips I’d like to share is to make sure each time you post on LinkedIn you’re adding value to your audience. It could be a “Top Tips” article like the ones here on Focus Guru. It could be a “shout out” for someone who’s helped you. Or it could be letting people know about a new product or service, but not necessarily a “buy my stuff” post, which many people find off putting.

In my Focus Guru LinkedIn Power Hour I teach you not only how to add value to your posts, but also how you can add value to your connections’ posts too. It all helps to build that “Meet, Like, Know, Trust” which in turn leads to recommendations, referrals and sales.

I always say if you get one gem from any training then it is worth the time and the money spent. If you attend one of Rachael’s Power Hours, I am sure you will feel the same as me – time and money – VERY well spent.” – Martin Duddridge, Autolease Ltd.

Are You A “Messy Desk” Person And Does It Matter?

Albert Einstein is famously quoted as saying, “If a cluttered desk is a sign of a cluttered mind, of what, then, is an empty desk a sign?”

and there’s certainly evidence to support a theory that a messy desk belongs to someone with a streak of creativity, thinking outside of the box ideas, an entrepreneur or inventor, perhaps even someone with a touch of genius.

“If a cluttered desk is a sign of a cluttered mind, of what, then, is an empty desk a sign?”
“If a cluttered desk is a sign of a cluttered mind, of what, then, is an empty desk a sign?”

But if your messy desk is causing you stress or overwhelm, don’t panic! I can help. I won’t be able to tidy your desk for you, but I will empower you with real strategies to tackle the mess, to become more organised and show you how to restore order to chaos. I do this through Focus Guru Power Hours, where you’ll learn key skills to apply in your business and at home and achieve your goals.

Rachael has great ideas and a fantastic system for getting yourself organised. Certainly worth a conversation to explore options.” – Sharon Broer

How Desks Get Messy

For some people, the flat surface of a desk becomes a magnet for clutter. It can only take a few minutes for a coffee cup, unopened post, receipts hastily scooped out of a wallet, a phone charger, loose papers and a multitude of other items start balancing one on top of the other. There comes a point when you don’t know if your desk is black or white or made of wood or metal, because it has vanished out of sight! Was there a mouse and keyboard somewhere under the clutter?

Possible Consequences

Loss of time is almost certainly a possible consequence. How long does it take you to find your car key, a client’s phone number, or the agenda for your next meeting? Not keeping on top of your paperwork can lead to losing client enquiries, failing to attend meetings and missing important deadlines. But it can also lead to feelings of anxiety, stress and depression. You may find you experience a tension headache, or backache. A messy desk also attracts dust, dirt and mould.

How To Change

In my Focus Guru Power Hours I will help identify the messy triggers in your life. Without fail, there is always a reason why you don’t file your receipts, or you have random phone numbers written on post-its. I can teach you systems and processes to manage clutter so that it doesn’t build up unmanageably. I will recommend strategies to make sure you don’t run out of time or energy to keep on top of things. The key skills are “Organisation” and “Accountability” and in your Focus Guru Power Hour you’ll learn exactly how to put these in place.

Why It Matters

Decluttering is proven to make us feel good. It’s satisfying to feel on top of clutter and mess. This doesn’t mean you can’t still have a coffee cup on your desk, or that you have to move every piece of paper into a filing system (or the bin). It’s about creating a positive working environment to enable you to sit at your desk, knowing what needs to be done, by when, and freeing up your time to pursue your goals.

Your Next Step To Achieving A Tidy Desk

I’ve mentioned Focus Guru Power Hours where in sixty minutes we’ll chat and I’ll guide you through proven strategies to improve your organisation and accountability skills. You’ll find the benefits reach far beyond whether your desk is tidy or cluttered. These are strong habits you’ll be forming to help you achieve more in your work and personal life.

Those goals you thought were out of reach will become achievable and the best part is you don’t need to leave your desk to participate! I offer a free 15 minute consultation to establish where you would like to start and give you a choice of Focus Guru Power Hours to help solve your most pressing problems.

How Do You Feel When Someone Asks You To Use Their Appointment Scheduler?

Love them or hate them, the use of online diaries and appointment scheduling apps is on the increase. Designed to maximise productivity, these clever apps are running our lives. But how do you feel about appointment scheduling? Does it work? Is it rude? Has it changed your life?

How to use automation to organise meetings
How to use automation to organise meetings

At Focus Guru, I help business owners make the best use of their time, energy and resources. Speaking recently with different clients, I’ve noticed a big change in the way they want to book appointments with prospective customers, organise team meetings and plan their networking follow-up calls.

Using an appointment scheduler, my clients have time to work during the day as well as speaking with their customers, without the time spilling into home life, hobbies and holidays.

A shift towards online calendars

Instead of an old-fashioned paper-based diary, there is a distinct shift towards online calendars and appointment schedulers. Having an electronic diary means appointments and events can be scheduled and shared with colleagues or family members, as and when required.

Your time can be divided into segments, colour-coded and reserved, for example, for meetings, sport or family activities. The time segments can be a five minute slot for a quick check-in at home, or a capped half hour consultation with a prospective client.

Automatic reminders encourage attendance

There’s nothing worse than being ready for a call and the other person fails to show up. How many times has this happened to you? Do you give them a second chance? Or a third?

Appointment schedulers have a great feature where they can be configured to send a reminder about your upcoming meeting. The app can also remind the person you’re speaking with that they have a meeting with you.

This alone is responsible for ensuring both parties are aware of the upcoming meeting and encourages attendance.

Rude and impersonal or does it show you value your time?

When the first person asked you to use their appointment scheduler, how did you feel? Did it feel rude and impersonal? After all, you were just asking for a chat with them. You might have wanted to buy their product or service. Perhaps you met someone at a 4N Online meeting and wanted to carry on your 121 and they asked you to book a time slot.

However, is it any different booking a 3pm to 3.30pm phone call via an appointment scheduler than verbally arranging a time? Does it show you value your time? Is it more reliable than writing the meeting time and date on a scrap of paper?

Would an appointment scheduler work for you?

There are many good reasons to use an appointment scheduler. From your side, you can choose the times you want to be available and when you want to switch off the phone. It can be relaxing to know you have a quiet hour or two to spend with family, to shop, read, or catch up with friends.

You’ll also know in advance who’s calling and can prepare documents or check facts and figures before they call. Having the answers ready and information to hand automatically reduces stress and creates a positive impression.

In my Focus Guru Power Hours, one of the topics I cover is how to choose the right appointment scheduler for your business. There are several to choose from and cater for single users, families, teams and entire organisations.

I’ll make sure you know how to set up appointments, send out professional invitations and organise the times you wish to be available. This will give you the right tools to manage your appointments and increase your working productivity.

To book your Focus Guru Power Hour, please contact book a free discovery call  into my calendar and let’s get started.

How Making A Cup Of Tea Can Improve Your Organisation Skills

When was the last time you stopped to make a cup of tea? Was it just before reading this? Or will you make yourself a drink in a few minutes? Stopping for a quick tea break actually has more benefits than you might think.

  1. Stopping for a drink helps your brain process your recent activities.
  2. The act of making a cup of tea has sequential actions which must be followed.
  3. Rehydrating regularly throughout the day is proven to enhance your productivity.
  4. Taking a break is a great way to come up with new and innovative ideas.
How can making a cup of tea help you get organised?
How can making a cup of tea help you get organised?

The human brain is said to process around 30,000 decisions each and every day. This starts from the moment you wake up, perhaps the alarm has gone off and you decide whether to switch it off and get up or hit “snooze” and have another ten minutes in bed. The decisions continue as you decide what to wear, which shirt, blouse, skirt, trousers, shoes, bag, jewellery is right for the day’s activities.

Each item you choose to wear becomes a decision and each decision can have a consequence on the next decision.

It’s the same when making a cup of tea. We all know the ingredients, the teabag, the milk, perhaps a spoonful of sugar, the water, the cup, the kettle, the electricity, and we make plenty of cups of tea each day on auto-pilot.

Our brains know what to do and when, in order to achieve the intended result.

50 Steps To Make Your Cup Of Tea

If something goes wrong, perhaps the milk has gone stale, the teabag splits or there’s a power cut, our brains are creative and there will be a workaround. It might surprise you to learn there are approximately 50 steps to making a cup of tea. That’s around 50 decisions your brain is making. It’s 50 things to keep track of, and that’s where your organisation skills are essential.

For example, there’s no point trying to boil an empty kettle. There’s no point trying to stir the tea without a spoon. From lifting the kettle lid, turning on the tap, allowing the water inside, turning the tap off, closing the lid, turning on the electric, putting the kettle back on the base, pressing the switch, waiting for the water to boil…you get the idea. There are lots of steps!

Using Your Time Twice

As humans we’re great at concurrent activity. We can do two things at the same time. I call it “using your time twice”. While the kettle is boiling the water, you’re probably opening the cupboard door, choosing your cup, closing the cupboard door, going to the fridge, opening the fridge door, picking up the milk, closing the fridge door…going back to the cup and the kettle, opening the milk carton, pouring in the milk, closing the milk carton, retracing your steps to the fridge. More steps!

I hope you can see how quickly the number of steps add up. You can see all the micro-decisions taking place. All to make a simple cup of tea.

Improving Your Organisation Skills

In this example I’ve shown how these micro-decisions become the jigsaw pieces to build the complete picture. If you feel you’re lacking organisation skills, perhaps you’re the person who runs out of milk, or doesn’t have a clean cup to drink from, I can help you change into the person who has everything under control.

Organisation skills are simply habits which can be learned and improved on at any stage of life and applied in business and at home. I can help you become the person who’s prepared for many eventualities, simply by becoming more organised.

Now if you’ll excuse me, I’m off to boil the kettle! I can easily make two cups of tea, so if you fancy a chat to see how you can improve your organisation skills, please contact me.

I offer a free 30-minute consultation to find out more about you and your business. This can lead on to working together to identify areas in your business or personal life where a little extra organisation will free up your time to enjoy the things you want to do.

Please contact me on 07756 772950 or drop a message in the comments and let’s get started!

Power Hour for “New Businesses” – Let’s Get Organised!

As a new business owner do you feel daunted by all the tasks in your business that need doing? Was it easier when you were employed by a company and everything was already in place and tasks were organised for you? This is more common than you might think, especially for businesses under three years old. Let me explain how a Power Hour can help you with all of that.

Power Hour helps you get organised in just 60 minutes
Power Hour helps you get organised in just 60 minutes

Many new business owners race to get their business at a certain level. Even though you’re just starting out, you might feel you have to be competing at the top to win new clients. You might feel frustrated that the tools you used to have in place need to be rebuilt from scratch. But that’s ok. Establishing and running a new business takes time, effort and energy. It takes organisation.

Some people are naturally organised. To outsiders, they seem to intuitively know what needs to be done, by when and by whom. This has probably come from years of experience, trial and error, making mistakes and learning how to change things to make them more organised and more efficient. The good news is that becoming organised is easy to learn.

I would like to share with you some of my top tips and if you think these are helpful, let’s book a Focus Guru Power Hour to expand on the themes. We’ll open up more time in your diary to spend with family, friends, hobbies and holidays. I will help you find more hours in your day and more energy to enjoy your work and downtime. All from becoming more organised!

Rachael changed my life literally. I now know exactly what needs doing, when it needs doing, and which task will be the most profitable. Invaluable session!” – Caroline Andrew-johnstone, Networking Rebel

I work with many start-ups and newly established businesses to help the owners and their team to see the wood for the trees. It can be a quagmire knowing what to do first. Sometimes it’s like the chicken and the egg. I offer a unique way to prioritise your incoming tasks, to look at your systems, processes, procedures and priorities, to help you take control of your day, rather than letting the work control your time.

In your Focus Guru “Let’s Get Organised” Power Hour we will achieve:

  • Prioritising Your Workload
  • Breaking Down Tasks
  • Using Technology to Streamline Processes
  • Changing Your Mindset
  • Stopping Feelings of Overwhelm

Focus Guru Power Hours aren’t for the faint-hearted. I will ask questions about how you want your business to run and what you want to achieve. It may challenge you to think differently about the tasks you do, the clients you work with, how you manage your time and more. But the results will be worth it.
